Digital pen helps security firm deliver fast response


Challenge:
Speed up processing of reports for maintenance of security and fire systems following site visits.

The equipment consists of digital pen and paper in combination with mobile phone and routing software that is used to send the digital pen data into iForms2U.

Fast integration of the information into company systems, enabling quotes to be given quickly and maintenance to be carried out promptly. More flexible and much cheaper than PDA solutions.
Using the pen, engineers can capture and store the information, and transmit it instantly through a mobile phone to a central computer. The data is then converted and saved as an electronic text file and integrated with the service management database.



Quality control made easier with Digital Pen & Paper


Challenge:
To make the quality control process simpler – reducing the need for manual data entry, and making it easy to transmit forms quickly to the head office.

Solution:
The equipment consists of digital pen and paper in combination with mobile phone and routing software that is used to send the digital pen data into iForms2U. Three different forms and in total 200 pens are being used.

Benefits:
Faster administrative process – more efficient invoicing and easier incorporation of information into databases. New employees can easily start working without intensive education and training. Easier to track from where, by whom and when the application was filled in.
Staff use Digital Pen and Paper to take their notes and send the quality control information directly back to headquarters via a Bluetooth handset. The data is accessible in seconds, to be compared with a couple of days when using the old system.
Staff also carry out customer satisfaction surveys using the DPP. The customer signs the survey using the digital pen, the form including the signature is then sent back to head office.
A significant advantage of the Digital Pen and Paper solution is the ease with which it can be used. For some staff are highly educated while others have low levels of education, ease of use was a big plus for the system. Also the new employees can easily start working with the digital pen and paper solution without intensive education or training.



Engineers on call save time with digital pen and paper

Save time and money on processing forms filled by engineers who are out on call.

The equipment consists of digital pen and paper in combination with mobile phone and routing software that is used to send the digital pen data into iForms2U. A mobile phone with Bluetooth technology is used to transmit forms from the site back to the office.

Benefits:
Faster administrative process – engineers no longer have to deliver reports back to head office at the end of the day. Better, more immediate information to clients. Cheaper, more flexible and less cumbersome than PDAs.
When the engineer has filled in the form, he or she just ticks a box at the bottom on the page, and all the information is sent back to head office via a mobile phone. Now there is no need to go back to the office, and no need for clerks to do data entry.
Another benefit of the DPP solution is that it requires no training – it enables the engineer to leave a hard copy of the report with the customer, while an electronic version can also be sent to the customer simultaneously.
